Job Summary We are seeking a talented Bookkeeper/Office Assistant to join our team. In this role, you will report to the Executive Director and work closely with the accountant to maintain accurate financial records and ensure the company's compliance with all legal requirements. The successful candidate will be organized, detail-oriented, dependable, and comfortable managing both bookkeeping and general office responsibilities. Bookkeeper Responsibilities
  • Manage day-to-day bookkeeping tasks, including recording financial transactions and maintaining the general ledger.
  • Conduct general ledger reconciliation to ensure accuracy of accounts.
  • Reconcile bank statements and credit card transactions on a regular basis.
  • Utilize financial software to streamline bookkeeping processes.
  • Assist in budgeting processes by providing relevant financial data and analysis.
Manage accounts receivable and accounts payable processes, ensuring timely billing and payment.
  • Work closely with our accountant in charge.
  • Process checks and electronic payments.
Record donations in the donor database and prepare and make deposits.
  • Assist with date for yearly audit.
  • Maintain and organize physical and digital files.
  • Track and follow up on pending requests to ensure a smooth 1099 process
  • Payroll processing
Office Assistance Responsibilities Provide general administrative support to the Executive Director and office team. Answer and route telephone calls, respond to routine inquiries, and welcome visitors professionally. Manage incoming and outgoing mail, correspondence, deliveries, and office email communications. Schedule appointments and meetings, maintain calendars, and assist with meeting preparation and follow-up. Prepare, proofread, copy, scan, and distribute documents, forms, reports, and correspondence. Maintain organized and confidential physical and electronic records in accordance with office procedures. Monitor office supplies, place approved orders, and coordinate routine office equipment and vendor needs. Assist with special projects, events, data entry, and other administrative duties as assigned.

Qualifications
  • Bachelor's degree in accounting or finance is preferable but not required.
  • Previous experience as a bookkeeper, or similar position preferable
  • Knowledge of generally accepted accounting principles (GAAP)
  • Good with spreadsheets, experienced in Microsoft Excel, QuickBooks, and basic accounting systems
  • Strong mathematical and analytical skills
  • Excellent attention to detail, time management
  • Strong communications skills and a positive, team-first attitude
