We move fast, we are expanding into new markets, and we need someone who can build the operational backbone that lets us do that without things falling apart behind us.We are hiring an Executive Assistant who is first and foremost an operational systems builder. Someone who can implement EOS across the entire company, build SOPs from the ground up, and serve as the connective tissue between the CEO and every team in the business. You will sit close to the CEO, understand everything happening across acquisitions, dispositions, transaction coordination, and marketing, and make sure information, decisions, systems, and accountability move where they need to go.This is not a role for someone who needs a defined lane. Full compensation details are provided during the interview process.Compensation:$55,000 - $62,000Responsibilities:EOS Implementation and SupportLead the implementation of EOS (Entrepreneurial Operating System) across the entire company and all marketsOwn the weekly L10 meeting structure for all teams, including acquisitions, dispositions, and leadershipPrepare and maintain scorecards, rocks, and issue lists for each L10 meetingDrive rocks accountability across all departments and follow up with team members until commitments are closedEnsure the entire team understands and consistently operates within the EOS framework regardless of location or marketWork with the CEO to set and track quarterly rocks and annual goalsIdentify gaps in EOS adoption across the organization and bring solutions to close themSystems and SOP DevelopmentMaintain SOPs for every key business process across the company and all marketsTake existing informal processes and turn them into clear, repeatable, written systems that work across multiple statesEnsure all team members in every market are trained on SOPs and follow defined processes consistentlyOwn the Task management board and keep task tracking current across all departments and team membersContinuously audit workflows and identify opportunities to improve efficiency and scalability as the company expandsMaintain a central SOP library and keep documentation current as the business evolves and enters new marketsWork with department leads to identify process gaps and implement lasting solutionsCross-Team Coordination and Follow-ThroughStay close enough to acquisitions, dispositions, transaction coordination, and marketing to know what is moving, what is stuck, and who needs to talk to whomCoordinate across virtual and in-office team members spanning multiple markets and time zonesTrack commitments made in meetings and conversations and follow up until they are actually closed, not just notedAttend meetings on the CEO behalf when needed, understand what was decided, and report back clearly enough that he can act without having been thereServe as the communication bridge between the CEO and the rest of the team on all operational mattersFilter what genuinely needs the CEO attention from what can be handled or routed without himLeadership Team SupportPrepare agendas, materials, and notes for internal meetings and leadership reviewsSupport onboarding of new hires across all markets by coordinating materials, schedules, and system accessHelp maintain team accountability to KPIs and performance standards across all departments and locationsAssist with special projects assigned directly by the CEOWhat Success Looks Like in Year OneEOS is running consistently across every team. L10 meetings are structured, scorecards are live, and rocks are being tracked and closedEvery key business process is documented in an SOP that people actually followNothing gets dropped in the handoff between teams because you are the connective tissue catching itThe CEO is delegating more to you over time because you have earned it, not because he had no choiceThe business is expanding into new markets, and the operational systems you built are scaling with itQualifications:3 to 5 or more years supporting an owner, executive, or founder directly as an Executive Assistant, Chief of Staff, or operations coordinatorDirect experience with EOS (Entrepreneurial Operating System) is strongly preferred. Candidates who have implemented EOS inside a company will stand outStrong background in building, documenting, and maintaining SOPs and operational systems from scratchReal estate or adjacent field strongly preferred, including wholesaling, property management, mortgage or title, brokerage, or real estate investing. You should be able to follow a deal conversation without a glossaryExceptional organizational skills with the ability to manage multiple priorities and threads across teams without being reminded twiceExcellent written and verbal communication. You will represent the CEO priorities to other people so precision mattersProactive mindset that identifies what needs to be fixed and acts without waiting to be askedComfortable in a small, fast-moving business where things change quickly and perfect information is rarely availableExperience supporting operations across multiple markets or virtual teams is a strong plusHigh discretion and trustworthiness with confidential deal, team, and financial informationProficient in Google Workspace, Slack, and Trello.
