Position Summary
Seeking a bilingual (English/Spanish) Receptionist to provide front desk and administrative support in a fast-paced office environment. The ideal candidate will have excellent communication, organizational, and customer service skills, along with experience using Microsoft Office applications.
Key Responsibilities
Greet and assist visitors according to established procedures.
Answer and route incoming telephone calls.
Respond to general inquiries and provide information.
Receive, sort, and distribute incoming mail and packages.
Prepare and process outgoing correspondence.
Create and maintain files and records.
Scan and index documents into the document management system.
Retrieve and distribute documents and records as needed.
Update logs, spreadsheets, and databases.
Prepare letters, reports, spreadsheets, memorandums, and other business documents.
Review forms and documents for completeness and accuracy.
Schedule meetings, appointments, and maintain calendars.
Monitor and maintain office supply inventory.
Operate office equipment including copiers, scanners, printers, fax machines, postage machines, and telephones.
Assist with workflow coordination and administrative support functions.
Communicate effectively with team members via email and other communication tools.
Perform other administrative duties as assigned.
Required Qualifications
Fluent verbal and written communication skills in English and Spanish.
Minimum 3 years of office or administrative experience, or an equivalent combination of education and experience.
Strong knowledge of Microsoft Word and Excel.
Excellent customer service and interpersonal skills.
Ability to maintain accurate records and files.
Strong organizational and multitasking abilities.
Ability to follow written and verbal instructions.
Ability to work effectively in a team environment.
Professional telephone etiquette.
Sound judgment and attention to detail.
Ability to work in a fast-paced, front-facing office.
Ability to lift up to 35 lbs.
Preferred Knowledge

Education Substitutions
